Can I book ad-hoc babysitting/nannying or do you only offer regular services?

We offer both ad-hoc babysitting/nannying for one-off needs as well as regular childcare arrangements, depending on what suits your schedule and requirements.

Are your childcare staff qualified and safe?

Answer
Yes, all of our childcare staff are DBS checked, insured, and trained in first aid. We ensure that our team is highly qualified to provide safe, reliable care for your children.

How do I know who will be looking after my child?

Answer
We always arrange a meet-and-greet session before your booking. This allows you to meet your sitter or nanny, discuss your requirements, and ensure they are a good fit for your family.

What childcare services do you offer?

Childcare Terms of Service

Childcare Terms and Conditions – Updated 6.5.24 General 1. Upon registering with Staffordshire Sitting Services, all clients have accepted our terms and conditions (as laid out here) and agree that they have given all information which is true and correct. If anything changes we must be notified immediately. 2. We will not confirm any booking until a phone/email consultation has been carried out with the client, the client has registered online and completed their profile with full details of requirements, emergency contacts, pet information etc. A meet and greet will be required to ensure client and sitter are happy to proceed. 3. We reserve the right to refuse service to any customer, at any time, for any reason. 4. The client must provide all items necessary for pets/house to be adequately cared for in the client's absence. (i.e., food, medication, nappies etc.). Should children require any additional supplies whilst in our care, these will be purchased and added to the invoice. 5. If it is necessary for keys to be picked up or dropped off in order to complete an assignment, charges will be applied to the invoice for each trip. 6. The client must provide the name and contact number of someone capable of making a decision relating to the children in an emergency. If the contact is not available, we reserve the right to consult with a Dr and then make a decision, which is in the best interests of the child. 7. The client is responsible for any medical bills, no matter how they are incurred, whilst children are in our care. 8. We must be alerted to any SEN needs or behavioral problems with their children at the time of booking. Failure to do so may result in additional charges or cancellation of any future contract. 9. We will care for your children as you would, and whilst we will make every effort to ensure your children are well looked after in your absence, we cannot be held liable for any loss, injury or death either inside or outside of the home whilst in our care. Sitters (employed) 1. Staffordshire Sitting Services works with most sitters as employees. 2. All sitters have been checked for suitability, DBS and experience. 3. Sitters are insured through Staffordshire Sitting Services. 4. We take every action possible to ensure our staff are trained and able to work to a high standard. 5. Staff are working under a contract and are not able to take on Staffordshire Sitting Services’ clients as their own private clients. All bookings must go through Staffordshire Sitting Services. 6. Payments must be made via the website and must not be made to the sitters. 7. In the rare case that your usual sitter is ill or unavailable we will do our best to replace them with a sitter equally as qualified and they will be insured, and DBS checked. Sitters (subcontractors) 1. Staffordshire Sitting Services works with some sitters as subcontractors. 2. All sitters have been checked and are registered as self-employed, insured, DBS checked and experienced. 3. Although we take every action possible to ensure our subcontractors can work to a high standard, Staffordshire Sitting Services cannot be held liable for the actions of the subcontractors. 4. Subcontractors are working under a contract and are not able to take on Staffordshire Sitting Services’ clients as their own private clients. All bookings must go through Staffordshire Sitting Services. 5. Payments must be made via the website and must not be made to the sitters. Health & Safety 1. If your child is ill please inform us as soon as possible so that we can make the decision whether to continue with the sit. As childcare providers we generally sit for children who are ill, but some sitters may be particularly vulnerable to certain illnesses. 2. Please provide a well-stocked first aid kit. 3. Your sitter will be first aid trained and whilst we will make every effort to ensure your children are well looked after in your absence, we cannot be held liable for any loss, injury or death either inside or outside of the home whilst in our care. SEN and Behaviour 1. Clients are to disclose any behaviour problems with their children. This includes fears, anxieties and aggression. 2. Clients are to disclose any SEN needs with their children. This includes ADHD, ASD etc. This is to ensure we place your children with the most experienced sitter to meet your child’s needs. 3. We reserve the right to refuse work with certain children who are perceived to be dangerous or unpredictable. 4. If a child’s behaviour becomes increasingly challenging, then parents will be contacted and we may end the booking early. Service Details Babysitting – Babysitting takes place when children are asleep at night. Your sitter can do extra nannying tasks at the nannying price, such as: feed children, bath children and put them to bed. Your sitter will keep a close eye on your children when they are asleep to ensure that they are safe. Nannying price will be charged for any hours that the children are awake during a babysit. Nannying - Nannying takes place when children are awake during the day. Your sitter will: feed children, play with them, take them on trips if requested. Your sitter will keep a close eye on your children to ensure that they are safe. Event childcare – Event childcare takes place at an event such as a wedding. Your sitter will look after your children in the event, or in the hotel room. Your sitter will ensure your child is looking their best and in the right place at the right time for family photos and greeting relatives. Your sitter will ensure the children are fed and hydrated throughout the event, and that they can have a nap if needed. Your sitter will keep your children entertained during those parts of the event that need a little bit of quiet. Prices vary depending on event, please get in touch for a quote. Proxy parenting / overnight house sit – This is when your sitter stays in your own home and takes care of your children and house as if they are the parents. Timings can be arranged when you book. Your sitter will keep your house clean and tidy, they’ll water your plants, collect your post and put your bins out. For the children, during their stay, your sitter will: feed, give water, change nappies, bath, play with your children, put to bed, and clear up mess and anything else they need to ensure they are happy. Your sitter will also walk your dogs if requested. Horse care or farm animal care can be added too. Please note that prices may vary according to amount of children, pets and tasks involved. Childcare Conditions 1. Children must be provided with everything they need. 2. It is expected that when the sitter arrives parents will have done everything that meets the children’s welfare needs. E.g. children aren’t overly hungry or thirsty, nappies are changed, beds have clean sheets on etc. 3. Most of our sitters are insured to take children out in the car, please provide car seats. If your sitter doesn’t deem the car seat to be a suitable size or style for the child, they won’t take the child out in it. (We have some car seats available, please let us know). 4. All expenses for trips etc. must be paid for and ideally money will be left for these. Alternatively, costs will be added to your invoice. 5. Sometimes parents will be at home during a sit - maybe working or getting ready to go out. Children are sometimes unsettled when they can hear parents but can’t be with them. It is to be discussed with your sitter about whether you pop in to see the child or leave your sitter in sole charge. Sometimes it can be upsetting and disturbing for the parent to keep popping in and children generally settle better when they are left with the sitter in charge for longer periods. 6. Parents must let the sitter know if there are any rules or expectations. E.g. no TV or children must stay upstairs after bedtime. 7. If children won’t sleep at night, your sitter will do everything possible to get children to sleep, or will keep them relaxed and happy. Nanny rates will apply if children won’t sleep during a babysit. House Conditions 1. Houses that aren’t clean will not be considered for a booking. 2. Overnight sitters must be provided with the minimum: a private bedroom, a bed with clean sheets, a bathroom with a bath or shower and a working toilet, a kitchen with cooking facilities, use of heating, running water, electricity. This list is not exhaustive. 3. Overnight sitting times will be agreed with the sitter before the service commences. 4. Costs will be incurred for nighttime wake ups (e.g. children crying, dogs barking etc.). Please discuss before booking. 5. Proxy parenting/house sitting includes putting bins out, collecting post and watering flowers (larger gardens may incur additional costs). If pets are in the house, please discuss individual needs for a quote. In the event of an emergency- children 1. Customers are required to give an emergency contact number as well as the preferred Dr practice the child should be taken to if necessary. If you are away on holiday it is strongly recommended that you provide the phone number for someone who is easily contactable and who you trust to make a decision on your behalf. If you can not be contacted then a voicemail message will be left, a text message and email will also be sent. 2. In an absolute emergency your child will be taken to A&E. 3. In a non-emergency your child will be taken to your specified Dr or walk in centre. 4. You agree to pay all medical bills if your child is injured or falls ill while in our care, unless we are directly responsible for injury or illness. 5. In the event of a child going missing clients will be notified and advised to come and help with a search. GDPR and photos 1. All personal data is held on our online portal, a password protected website. This can be edited by you at any time and viewed by your sitter when you’re booked in with them. 2. Photos will be taken during your sit and can be texted to you during or after. 3. Photos will be used on social media sites and sometimes on promotional materials, please let us know when you register if you would like to opt out of this or have nonidentifiable photos taken. Booking 1. Bookings must be made online at www.staffordshiresittingservices.co.uk 2. Bookings must not be made directly with sitters. 3. Bookings must be paid for via card or bank transfer online and not paid in cash. 4. Bookings are paid for at the time of booking. This secures your time and sitter. Extras will be invoiced after the booking and are due within 2 days. 5. Cancellations may incur a charge, please see cancellation policy below. Cancellations 1. If we arrive and are no longer needed, then the full price will be charged. 2. If we arrive and the child is too sick or unwell we reserve the right to cancel the booking. The full price will be charged. 3. If we cannot gain access to a property due to faulty or difficult locks the client will be charged an inconvenience fee. Clients will be notified immediately and children will be taken to a safe place. 4. If a babysitting or nannying cancellation is made the full fee will still be charged. Bookings may be able to be rescheduled if more than 2 days notice is given. 5. Proxy parenting, overnight sitting and event sitting will incur the full charge if cancelled with less than 4 weeks notice. If cancelled with more than 4 weeks notice, your date securing payment will not be returned. Payment 1. Payment before service will apply to all services. Additional services or mileage will be invoiced after, and payment is due within 2 days of receiving the invoice. 2. Where payment after service is required, an invoice will be produced once the work has been completed and is due within 2 days of receiving the invoice. 3. Payments must be made by bank transfer or card payment. 4. All payments must be received within 2 days of the invoice date. 5. In the event of late payment, 10% of the invoice total will be added to the bill. A further 10% will be added every day the invoice is overdue thereafter. If a client fails to pay, we will cease to offer any more services and have the right to make a claim

Pet Care Terms of Service

The client is responsible for any veterinary bills, no matter how they are incurred, whilst pets are in our care. 8. We must be alerted to any behavioral problems with their pets at the time of booking. Failure to do so may result in additional charges or cancellation of any future contract. 9. Although Staffordshire Sitting Services (and each sitter) holds Public Liability insurance, wherever possible pets should be insured by the client. We reserve the right to refuse a booking for any animal which is not insured. 10. We will care for your animal as you would, and whilst we will make every effort to ensure your pet is well looked after in your absence, we cannot be held liable for any loss, injury or death to a pet either inside or outside of the home whilst in our care. To help keep dogs under control we sometimes use food as positive reinforcement for good behaviour. Clients must disclose any issues surrounding food, whether that be allergies or aggressive behaviour. 2. All dogs must have a collar or harness on with the name and number/address of the owner. (https://www.legislation.gov.uk/cy/uksi/1992/901/made/data.htm?wrap=true) 3. We are required to report any bite incident to the authorities. 4. Hot weather – Our staff will use their judgment to decide when it is too hot to walk dogs. In these circumstances they will spend time with dogs in their home/garden or take them to a cool shaded area to walk. If your dogs have a paddling pool please let us know and leave towels out too. Walks may be moved to a cooler part of the day if our and your schedule allows. 5. Cold weather – Please leave coats for dogs who feel the cold. Our staff will use their judgment to decide when it is too cold to walk dogs. In these circumstances they will spend time with dogs in their home/garden. Please leave their favourite toys. 6. Wet weather – We walk dogs in all weathers. Please leave coats if you would like your dogs to wear one. Dogs are likely to get muddy and we do our best to towel them off. If you want them to be left in a certain room when they are muddy (e.g. kitchen) please let us know. Pet Behaviour – ALL animals 1. Clients are to disclose any behaviour problems with their pet. This includes fears, anxieties and aggression or reactivity. 2. To help keep dogs under control we use food as positive reinforcement for good behaviour. Clients must disclose any issues surrounding food, whether that be allergies or aggressive behaviour. 3. We reserve the right to refuse work with certain pets that are perceived to be dangerous or unpredictable. 4. If a dog’s behaviour on their walks becomes increasingly challenging then a solo walk or home visit (depending on the intensity of the problem) may be offered. 5. We reserve the right to walk dogs on lead if their behaviour is not considered appropriate off lead. 6. If a horse’s behaviour becomes increasingly challenging then the horse will be fed and watered, but may not be led in or out (depending on the intensity of the problem). Dog Walking Conditions 1. In most cases dogs are walked individually, if we think they are suitable for a group walk dogs are teamed up with suitable walking companions, the time of each walk for group walks is dependent on which dogs are being walked that day. We aim to walk the dogs as close to the advertised duration as possible, however, walk times may vary. For instance, if one individual is lame on collection and seems to be struggling then that walk may be cut short to ensure that individual is okay. 2. All dogs being group walked will undergo a trial period to ensure that they are adequately trained and socialised. 3. We reserve the right to cancel the contract at any time & with immediate effect if the dog does not respond well to the walker and/or other dogs. 4. We reserve the right to terminate a dog walk early in exceptional circumstances. This could be due to extreme weather conditions, a dog becoming ill or injured, a dog becoming distressed or distressing other dogs. 5. The safety of the dogs in our care is priority at all times and a walk will only be terminated before completion if absolutely necessary. 6. On very hot days we may reduce our walk times to reduce the risk of heat stroke for dogs, especially flat faced breeds. We assess each situation as it comes and how the dogs seem to be coping in the heat on that particular walk. 7. Due to our chosen walk locations dogs may get wet, muddy or may encounter fox poo. 8. In the event of a dog rolling in something, we will clean them off, but cannot guarantee them to be smell-free. We will report all poo-rolling and shut dogs away somewhere suitable on their return where applicable. 9. Client must understand that we cannot guarantee the same walker each time. However, it may be required for a new walker to walk your dog without being formally introduced in the event of last minute booking or sudden change of schedule (due to sickness, car issues etc). 10. All walkers are insured with Public Liability Insurance. 11. We will walk un-neutered males, but they will be closely monitored and any aggressive or boisterous behavior will be reported to owner and future walks may be cancelled. 12. We will walk un-neutered females, but owners must inform us when in season. We may swap location of their walks or stop walks until their season finishes. 13. If pets show signs of flea or worm infestations they will not be walked and owners will be notified. 14. Dogs will be walked on lead unless you’ve given permission to let them off lead. We will only let dogs off lead when we feel that their recall is acceptable. Horse Care Conditions Farrier If the sitter thinks it best to call the farrier in the case of the horse potentially damaging himself on a loose/twisted shoe, I hereby give my consent for them to call and will cover all costs relating to this. Veterinary During my absence, I have given permission for the sitter and emergency contact to act as a guardian for my pets named above. I AUTHORISE THE NAMED VETS TO TREAT MY PETS IN CASE OF ANY ILLNESS. I will be responsible for any vets charges that may be incurred. Please take any action suitable in order to keep my pets in good health. I give the pet carer permission to transport the above pets to the named vets. I agree that in the event of surgery or euthanasia the pet sitter will accept the advice of the vet and the emergency contact will be contacted. Cat Care Conditions Although it is always safer to keep cats indoors during their owners’ absence, we appreciate that this is not for everyone. As you are aware of the risks, we will care for your cat/s while he has access to a cat flap. Disclaimer On booking you agree that Staffordshire Sitting Services and subcontracted pet sitters cannot be held responsible for any loss of pets that have access to an open cat flap. In the event of your cat going missing, we will continue to provide care visits for your cat/s until your return. House Sitting Conditions 1. House sitting will require a meet and greet to assess if the house is suitable for the sitter. 2. Houses that aren’t clean will not be considered for a house sit. 3. Sitters must be provided with the minimum: a private bedroom, a bed with clean sheets, a bathroom with a bath or shower and a working toilet, a kitchen with cooking facilities, use of heating, running water, electricity. This list is not exhaustive. 4. Overnight house-sitting times will be agreed with the sitter before the service commences. This is usually 6pm to 8am, but times are flexible. Extra hours may be added at extra cost. 5. Costs will be incurred for nighttime wake ups (e.g. letting dogs out, dogs barking, neighbours banging on walls etc.). Please discuss before booking. 6. House sitting includes putting bins out, collecting post and watering flowers (larger gardens may incur additional costs). If pets are in the house, please discuss individual needs for a quote. 7. All cameras must be made known to your sitter. Cameras in living areas and bedrooms will be turned off while your sitter is in the house and will be turned on when they leave. In the event of an emergency- pets 1. Customers are required to give an emergency contact number as well as the preferred veterinary practice the pet should be taken to if necessary. If you are away on holiday it is strongly recommended that you provide the phone number for someone who is easily contactable and who you trust to make a decision on your behalf. If you cannot be contacted then a voicemail message will be left, a text message and email will also be sent. 2. In an absolute emergency the pet will be taken to the nearest veterinary practice. 3. In a non-emergency the pet will be taken to your specified vet. 4. Pet insurance is always recommended for peace of mind. 5. In the event of a pet going missing clients will be notified and advised to come and help with a search should the pet be missing for longer than 30 minutes. Members of the team will be able to come and help with the search as soon as convenient. Visiting Times We reserve the right to visit or collect the pet within a 60 minute window of the time specified. Working with animals means that unpredictable behaviour can occasionally cause delays. This, along with bad traffic can put us a little behind schedule, although please be assured that this happens very rarely. In the rare case that your usual sitter is ill or unavailable we will do our best to replace them with a sitter equally as qualified and they will be insured and DBS checked. GDPR and photos 1. All personal data is held on our online portal, a password protected website. This can be edited by you at any time and viewed by your sitter when you’re booked in with them. 2. If we arrive to collect a dog for a walk and they are sick or unwell we reserve the right to cancel their walk and the booking will be changed to a welfare visit (giving them a chance to toilet and giving them some love) for the same length of time and the same price. 3. If we cannot gain access to a property due to faulty or difficult locks the client will still be charged. Clients will be notified immediately. 4. If a dog walk or pet visit cancellation is made within 48 hours of the booking the full fee will be charged. 5. House/farm sitting will incur the full charge if cancelled with less than 2 weeks notice. If cancelled within 2-4 weeks of the booking date, 50% charge will be incurred. Payment 1. Payment before service will apply to all services. Additional services or mileage will be invoiced after, and payment is due within 2 days of receiving the invoice. 2. Where payment after service is required, an invoice will be produced once the work has been completed and is due within 2 days of receiving the invoice. 3. Payments must be made by bank transfer or card payment. 4. All payments must be received within 2 days of the invoice date. 5. In the event of late payment, 10% of the invoice total will be added to the bill. A further 10% will be added every day the invoice is overdue thereafter. 6. If a client fails to pay, we will cease to offer any more services and have the right to make a claim via the small claims court. Service Details 20/30 minute home visit – This is suitable for small animals and dogs. During this visit your sitter will: feed, change water, play with your pet, fuss your pet, let your pet out if specified and clear up mess. 30 minute solo walk – Your dog will be collected and walked from home. Walk time will be approximately 20-25 minutes, to allow for collection and drop off. If your dog is dirty, they will be towelled off and dogs will be given fresh water on return. 60 minute solo walk – Your dog will be collected and walked from home. Walk time will be approximately 50-55 minutes, to allow for collection and drop off. If your dog is dirty, they will be towelled off and dogs will be given fresh water on return. (i.e., food, medication, leads, tags, collars, cat litter etc.). Should pets require any additional supplies whilst in our care, these will be purchased and added to the invoice. 5. If it is necessary for keys to be picked up or dropped off in order to complete an assignment, charges will be applied to the invoice for each trip. 6. The client must provide the name and contact number of someone capable of making a decision relating to the pet(s) in an emergency. If the contact is not available, we reserve the right to consult with a veterinary surgeon and then make a decision, which is in the best interests of the animal. 7. The client is responsible for any veterinary bills, no matter how they are incurred, whilst pets are in our care. 8. We will walk un-neutered males, but they will be closely monitored and any aggressive or boisterous behavior will be reported to owner and future walks may be cancelled. 12. We will walk un-neutered females, but owners must inform us when in season. We may swap location of their walks or stop walks until their season finishes. 13. If pets show signs of flea or worm infestations they will not be walked and owners will be notified. 14. Dogs will be walked on lead unless you’ve given permission to let them off lead. We will only let dogs off lead when we feel that their recall is acceptable. Horse Care Conditions Farrier If the sitter thinks it best to call the farrier in the case of the horse potentially damaging himself on a loose/twisted shoe, I hereby give my consent for them to call and will cover all costs relating to this. Veterinary During my absence, I have given permission for the sitter and emergency contact to act as a guardian for my pets named above. I AUTHORISE THE NAMED VETS TO TREAT MY PETS IN CASE OF ANY ILLNESS. I will be responsible for any vets charges that may be incurred. Please take any action suitable in order to keep my pets in good health. I give the pet carer permission to transport the above pets to the named vets. I agree that in the event of surgery or euthanasia the pet sitter will accept the advice of the vet and the emergency contact will be contacted. Cat Care Conditions Although it is always safer to keep cats indoors during their owners’ absence, we appreciate that this is not for everyone. As you are aware of the risks, we will care for your cat/s while he has access to a cat flap. Disclaimer On booking you agree that Staffordshire Sitting Services and subcontracted pet sitters cannot be held responsible for any loss of pets that have access to an open cat flap. In the event of your cat going missing, we will continue to provide care visits for your cat/s until your return. House Sitting Conditions 1. House sitting will require a meet and greet to assess if the house is suitable for the sitter. 2. Houses that aren’t clean will not be considered for a house sit. 3. Sitters must be provided with the minimum: a private bedroom, a bed with clean sheets, a bathroom with a bath or shower and a working toilet, a kitchen with cooking facilities, use of heating, running water, electricity. This list is not exhaustive. 4. Overnight house-sitting times will be agreed with the sitter before the service commences. This is usually 6pm to 8am, but times are flexible. Extra hours may be added at extra cost. 5. Costs will be incurred for nighttime wake ups (e.g. letting dogs out, dogs barking, neighbours banging on walls etc.). Please discuss before booking. 6. House sitting includes putting bins out, collecting post and watering flowers (larger gardens may incur additional costs). If pets are in the house, please discuss individual needs for a quote. 7. All cameras must be made known to your sitter. Cameras in living areas and bedrooms will be turned off while your sitter is in the house and will be turned on when they leave. In the event of an emergency- pets 1. Customers are required to give an emergency contact number as well as the preferred veterinary practice the pet should be taken to if necessary. If you are away on holiday it is strongly recommended that you provide the phone number for someone who is easily contactable and who you trust to make a decision on your behalf. If you cannot be contacted then a voicemail message will be left, a text message and email will also be sent. 2. In an absolute emergency the pet will be taken to the nearest veterinary practice. 3. In a non-emergency the pet will be taken to your specified vet. 4. You agree to pay all vets bills if the pet is injured or falls ill while in our care unless we are directly responsible for injury or illness. Pet insurance is always recommended for peace of mind. 5. In the event of a pet going missing clients will be notified and advised to come and help with a search should the pet be missing for longer than 30 minutes. Members of the team will be able to come and help with the search as soon as convenient. Visiting Times We reserve the right to visit or collect the pet within a 60 minute window of the time specified. Working with animals means that unpredictable behaviour can occasionally cause delays. This, along with bad traffic can put us a little behind schedule, although please be assured that this happens very rarely. All personal data is held on our online portal, a password protected website. This can be edited by you at any time and viewed by your sitter when you’re booked in with them. 2. Photos will be taken during your sit and can be texted to you during or after. 3. Photos will be used on social media sites and sometimes on promotional materials, please let us know when you register if you would like to opt out of this or have nonidentifiable photos taken. If we cannot gain access to a property due to faulty or difficult locks the client will still be charged. Clients will be notified immediately. 4. If a dog walk or pet visit cancellation is made within 48 hours of the booking the full fee will be charged. 5. House/farm sitting will incur the full charge if cancelled with less than 2 weeks notice. If cancelled within 2-4 weeks of the booking date, 50% charge will be incurred. Payment 1. Payment before service will apply to all services. Additional services or mileage will be invoiced after, and payment is due within 2 days of receiving the invoice. 2. Where payment after service is required, an invoice will be produced once the work has been completed and is due within 2 days of receiving the invoice. 3. Payments must be made by bank transfer or card payment. 4. All payments must be received within 2 days of the invoice date. 5. In the event of late payment, 10% of the invoice total will be added to the bill. A further 10% will be added every day the invoice is overdue thereafter. 6. If a client fails to pay, we will cease to offer any more services and have the right to make a claim via the small claims court. If it is necessary for keys to be picked up or dropped off in order to complete an assignment, charges will be applied to the invoice for each trip. 6. The client must provide the name and contact number of someone capable of making a decision relating to the pet(s) in an emergency. If the contact is not available, we reserve the right to consult with a veterinary surgeon and then make a decision, which is in the best interests of the animal. 7. The client is responsible for any veterinary bills, no matter how they are incurred, whilst pets are in our care. 8. We must be alerted to any behavioral problems with their pets at the time of booking. Failure to do so may result in additional charges or cancellation of any future contract. 9. Pet Care Terms of Service

Pet Care Terms and Conditions – Updated 6.5.24 General 1. Upon registering with Staffordshire Sitting Services, all clients have accepted our terms and conditions (as laid out here) and agree that they have given all information which is true and correct. If anything changes we must be notified immediately. 2. We will not confirm any booking until a phone/email consultation has been carried out with the client, the client has registered online and completed their profile with full details of requirements, emergency contacts, pet information etc. A meet and greet will be required to ensure client and sitter are happy to proceed. 3. We reserve the right to refuse service to any customer, at any time, for any reason. 4. The client must provide all items necessary for pets/house to be adequately cared for in the client's absence. (i.e., food, medication, leads, tags, collars, cat litter etc.). Should pets require any additional supplies whilst in our care, these will be purchased and added to the invoice. 5. If it is necessary for keys to be picked up or dropped off in order to complete an assignment, charges will be applied to the invoice for each trip. 6. The client must provide the name and contact number of someone capable of making a decision relating to the pet(s) in an emergency. If the contact is not available, we reserve the right to consult with a veterinary surgeon and then make a decision, which is in the best interests of the animal. 7. The client is responsible for any veterinary bills, no matter how they are incurred, whilst pets are in our care. 8. We must be alerted to any behavioral problems with their pets at the time of booking. Failure to do so may result in additional charges or cancellation of any future contract. 9. Although Staffordshire Sitting Services (and each sitter) holds Public Liability insurance, wherever possible pets should be insured by the client. We reserve the right to refuse a booking for any animal which is not insured. 10. We will care for your animal as you would, and whilst we will make every effort to ensure your pet is well looked after in your absence, we cannot be held liable for any loss, injury or death to a pet either inside or outside of the home whilst in our care. Sitters (employed) 1. Staffordshire Sitting Services works with most sitters as employees. 2. All sitters have been checked for suitability, DBS and experience. 3. Sitters are insured through Staffordshire Sitting Services. 4. We take every action possible to ensure our staff are trained and able to work to a high standard. 5. Staff are working under a contract and are not able to take on Staffordshire Sitting Services’ clients as their own private clients. All bookings must go through Staffordshire Sitting Services. 6. Payments must be made via the website and must not be made to the sitters. 7. In the rare case that your usual sitter is ill or unavailable we will do our best to replace them with a sitter equally as qualified and they will be insured, and DBS checked. Sitters (subcontractors) 1. Staffordshire Sitting Services works with some sitters as subcontractors. 2. All sitters have been checked and are registered as self-employed, insured, DBS checked and experienced. 3. Although we take every action possible to ensure our subcontractors can work to a high standard, Staffordshire Sitting Services cannot be held liable for the actions of the subcontractors. 4. Subcontractors are working under a contract and are not able to take on Staffordshire Sitting Services’ clients as their own private clients. All bookings must go through Staffordshire Sitting Services. 5. Payments must be made via the website and must not be made to the sitters. Pet Health & Safety 1. To help keep dogs under control we sometimes use food as positive reinforcement for good behaviour. Clients must disclose any issues surrounding food, whether that be allergies or aggressive behaviour. 2. All dogs must have a collar or harness on with the name and number/address of the owner. (https://www.legislation.gov.uk/cy/uksi/1992/901/made/data.htm?wrap=true) 3. We are required to report any bite incident to the authorities. 4. Hot weather – Our staff will use their judgment to decide when it is too hot to walk dogs. In these circumstances they will spend time with dogs in their home/garden or take them to a cool shaded area to walk. If your dogs have a paddling pool please let us know and leave towels out too. Walks may be moved to a cooler part of the day if our and your schedule allows. 5. Cold weather – Please leave coats for dogs who feel the cold. Our staff will use their judgment to decide when it is too cold to walk dogs. In these circumstances they will spend time with dogs in their home/garden. Please leave their favourite toys. 6. Wet weather – We walk dogs in all weathers. Please leave coats if you would like your dogs to wear one. Dogs are likely to get muddy and we do our best to towel them off. If you want them to be left in a certain room when they are muddy (e.g. kitchen) please let us know. Pet Behaviour – ALL animals 1. Clients are to disclose any behaviour problems with their pet. This includes fears, anxieties and aggression or reactivity. 2. To help keep dogs under control we use food as positive reinforcement for good behaviour. Clients must disclose any issues surrounding food, whether that be allergies or aggressive behaviour. 3. We reserve the right to refuse work with certain pets that are perceived to be dangerous or unpredictable. 4. If a dog’s behaviour on their walks becomes increasingly challenging then a solo walk or home visit (depending on the intensity of the problem) may be offered. 5. We reserve the right to walk dogs on lead if their behaviour is not considered appropriate off lead. 6. If a horse’s behaviour becomes increasingly challenging then the horse will be fed and watered, but may not be led in or out (depending on the intensity of the problem). Dog Walking Conditions 1. In most cases dogs are walked individually, if we think they are suitable for a group walk dogs are teamed up with suitable walking companions, the time of each walk for group walks is dependent on which dogs are being walked that day. We aim to walk the dogs as close to the advertised duration as possible, however, walk times may vary. For instance, if one individual is lame on collection and seems to be struggling then that walk may be cut short to ensure that individual is okay. 2. All dogs being group walked will undergo a trial period to ensure that they are adequately trained and socialised. 3. We reserve the right to cancel the contract at any time & with immediate effect if the dog does not respond well to the walker and/or other dogs. 4. We reserve the right to terminate a dog walk early in exceptional circumstances. This could be due to extreme weather conditions, a dog becoming ill or injured, a dog becoming distressed or distressing other dogs. 5. The safety of the dogs in our care is priority at all times and a walk will only be terminated before completion if absolutely necessary. 6. On very hot days we may reduce our walk times to reduce the risk of heat stroke for dogs, especially flat faced breeds. We assess each situation as it comes and how the dogs seem to be coping in the heat on that particular walk. 7. Due to our chosen walk locations dogs may get wet, muddy or may encounter fox poo. 8. In the event of a dog rolling in something, we will clean them off, but cannot guarantee them to be smell-free. We will report all poo-rolling and shut dogs away somewhere suitable on their return where applicable. 9. Client must understand that we cannot guarantee the same walker each time. However, it may be required for a new walker to walk your dog without being formally introduced in the event of last minute booking or sudden change of schedule (due to sickness, car issues etc). 10. All walkers are insured with Public Liability Insurance. 11. We will walk un-neutered males, but they will be closely monitored and any aggressive or boisterous behavior will be reported to owner and future walks may be cancelled. 12. We will walk un-neutered females, but owners must inform us when in season. We may swap location of their walks or stop walks until their season finishes. 13. If pets show signs of flea or worm infestations they will not be walked and owners will be notified. 14. Dogs will be walked on lead unless you’ve given permission to let them off lead. We will only let dogs off lead when we feel that their recall is acceptable. Horse Care Conditions Farrier If the sitter thinks it best to call the farrier in the case of the horse potentially damaging himself on a loose/twisted shoe, I hereby give my consent for them to call and will cover all costs relating to this. Veterinary During my absence, I have given permission for the sitter and emergency contact to act as a guardian for my pets named above. I AUTHORISE THE NAMED VETS TO TREAT MY PETS IN CASE OF ANY ILLNESS. I will be responsible for any vets charges that may be incurred. Please take any action suitable in order to keep my pets in good health. I give the pet carer permission to transport the above pets to the named vets. I agree that in the event of surgery or euthanasia the pet sitter will accept the advice of the vet and the emergency contact will be contacted. Cat Care Conditions Although it is always safer to keep cats indoors during their owners’ absence, we appreciate that this is not for everyone. As you are aware of the risks, we will care for your cat/s while he has access to a cat flap. Disclaimer On booking you agree that Staffordshire Sitting Services and subcontracted pet sitters cannot be held responsible for any loss of pets that have access to an open cat flap. In the event of your cat going missing, we will continue to provide care visits for your cat/s until your return. House Sitting Conditions 1. House sitting will require a meet and greet to assess if the house is suitable for the sitter. 2. Houses that aren’t clean will not be considered for a house sit. 3. Sitters must be provided with the minimum: a private bedroom, a bed with clean sheets, a bathroom with a bath or shower and a working toilet, a kitchen with cooking facilities, use of heating, running water, electricity. This list is not exhaustive. 4. Overnight house-sitting times will be agreed with the sitter before the service commences. This is usually 6pm to 8am, but times are flexible. Extra hours may be added at extra cost. 5. Costs will be incurred for nighttime wake ups (e.g. letting dogs out, dogs barking, neighbours banging on walls etc.). Please discuss before booking. 6. House sitting includes putting bins out, collecting post and watering flowers (larger gardens may incur additional costs). If pets are in the house, please discuss individual needs for a quote. 7. All cameras must be made known to your sitter. Cameras in living areas and bedrooms will be turned off while your sitter is in the house and will be turned on when they leave. In the event of an emergency- pets 1. Customers are required to give an emergency contact number as well as the preferred veterinary practice the pet should be taken to if necessary. If you are away on holiday it is strongly recommended that you provide the phone number for someone who is easily contactable and who you trust to make a decision on your behalf. If you cannot be contacted then a voicemail message will be left, a text message and email will also be sent. 2. In an absolute emergency the pet will be taken to the nearest veterinary practice. 3. In a non-emergency the pet will be taken to your specified vet. 4. You agree to pay all vets bills if the pet is injured or falls ill while in our care unless we are directly responsible for injury or illness. Pet insurance is always recommended for peace of mind. 5. In the event of a pet going missing clients will be notified and advised to come and help with a search should the pet be missing for longer than 30 minutes. Members of the team will be able to come and help with the search as soon as convenient. Visiting Times We reserve the right to visit or collect the pet within a 60 minute window of the time specified. Working with animals means that unpredictable behaviour can occasionally cause delays. This, along with bad traffic can put us a little behind schedule, although please be assured that this happens very rarely. In the rare case that your usual sitter is ill or unavailable we will do our best to replace them with a sitter equally as qualified and they will be insured and DBS checked. GDPR and photos 1. All personal data is held on our online portal, a password protected website. This can be edited by you at any time and viewed by your sitter when you’re booked in with them. 2. Photos will be taken during your sit and can be texted to you during or after. 3. Photos will be used on social media sites and sometimes on promotional materials, please let us know when you register if you would like to opt out of this or have nonidentifiable photos taken. Booking 1. Bookings must be made online at www.staffordshiresittingservices.co.uk 2. Bookings must not be made directly with sitters. 3. Bookings must be paid for via card or bank transfer online and not paid in cash. 4. Bookings are paid for at the time of booking. This secures your time and sitter. 5. Cancellations may incur a charge, please see cancellation policy below. Cancellations 1. If we arrive and are no longer needed, then the full price will be charged for the walk or visit. 2. If we arrive to collect a dog for a walk and they are sick or unwell we reserve the right to cancel their walk and the booking will be changed to a welfare visit (giving them a chance to toilet and giving them some love) for the same length of time and the same price. 3. If we cannot gain access to a property due to faulty or difficult locks the client will still be charged. Clients will be notified immediately. 4. If a dog walk or pet visit cancellation is made within 48 hours of the booking the full fee will be charged. 5. House/farm sitting will incur the full charge if cancelled with less than 2 weeks notice. If cancelled within 2-4 weeks of the booking date, 50% charge will be incurred. Payment 1. Payment before service will apply to all services. Additional services or mileage will be invoiced after, and payment is due within 2 days of receiving the invoice. 2. Where payment after service is required, an invoice will be produced once the work has been completed and is due within 2 days of receiving the invoice. 3. Payments must be made by bank transfer or card payment. 4. All payments must be received within 2 days of the invoice date. 5. In the event of late payment, 10% of the invoice total will be added to the bill. A further 10% will be added every day the invoice is overdue thereafter. 6. If a client fails to pay, we will cease to offer any more services and have the right to make a claim via the small claims court. Service Details 20/30 minute home visit – This is suitable for small animals and dogs. During this visit your sitter will: feed, change water, play with your pet, fuss your pet, let your pet out if specified and clear up mess. 30 minute solo walk – Your dog will be collected and walked from home. Walk time will be approximately 20-25 minutes, to allow for collection and drop off. If your dog is dirty, they will be towelled off and dogs will be given fresh water on return. 60 minute solo walk – Your dog will be collected and walked from home. Walk time will be approximately 50-55 minutes, to allow for collection and drop off. If your dog is dirty, they will be towelled off and dogs will be given fresh water on return. We can also feed your dog if you require. 30 minute group walk – Your dog will be collected and walked either from home, or may have a short car journey to their walk. Dogs will be walked in a group no larger than 6. Dogs may be out of the house longer than 30 minutes to allow collection and drop off time. If your dog is dirty, they will be towelled off and dogs will be given fresh water on return. 60 minute group walk – Your dog will be collected and walked either from home, or may have a short car journey to their walk. Dogs will be walked in a group no larger than 6. Dogs may be out of the house longer than 60 minutes to allow collection and drop off time. If your dog is dirty, they will be towelled off and dogs will be given fresh water on return. Day or evening sit – This is for a minimum of 4 hours and is suitable for dogs who cannot be left alone. Your sitter will do all the duties included in a home visit: feed, change water, play with your pet, fuss your pet, let your pet out if specified and clear up mess. Horse visit – Horse visits are priced per hour. Included is: feeding, giving hay, changing water, mucking out, poo picking, changing rugs, turning out/fetching in. This can be booked for 1 horse or several, and we will do as many jobs as possible in your requested time. House sit – House sitting is when your sitter stays in your own home and takes care of your pets and house. House sit timings can be arranged when you book. Usually, we arrive at 6pm and leave at 8am. There is the option to add a lunchtime home visit too. Your sitter will keep your house clean and tidy, they’ll water your plants, collect your post and put your bins out. If you have pets, during their stay, your sitter will: feed, change water, play with your pet, fuss your pet, let your pet out if specified and clear up mess. If your child is ill please inform us as soon as possible so that we can make the decision whether to continue with the sit. As childcare providers we generally sit for children who are ill, but some sitters may be particularly vulnerable to certain illnesses. 2. Please provide a well-stocked first aid kit. 3. Your sitter will be first aid trained and whilst we will make every effort to ensure your children are well looked after in your absence, we cannot be held liable for any loss, injury or death either inside or outside of the home whilst in our care. SEN and Behaviour 1. Clients are to disclose any behaviour problems with their children. This includes fears, anxieties and aggression. 2. Clients are to disclose any SEN needs with their children. This includes ADHD, ASD etc. This is to ensure we place your children with the most experienced sitter to meet your child’s needs. 3. We reserve the right to refuse work with certain children who are perceived to be dangerous or unpredictable. 4. If a child’s behaviour becomes increasingly challenging then parents will be contacted and we may end the booking early. Service Details Babysitting – Babysitting takes place when children are asleep at night. Your sitter can do extra nannying tasks at the nannying price, such as: feed children, bath children and put them to bed. Your sitter will keep a close eye on your children when they are asleep to ensure that they are safe. Nannying price will be charged for any hours that the children are awake during a babysit. Nannying - Nannying takes place when children are awake during the day. Your sitter will: feed children, play with them, take them on trips if requested. Your sitter will keep a close eye on your children to ensure that they are safe. Event childcare – Event childcare takes place at an event such as a wedding. Your sitter will look after your children in the event, or in the hotel room. Your sitter will ensure your child is looking their best and in the right place at the right time for family photos and greeting relatives. Your sitter will ensure the children are fed and hydrated throughout the event, and that they can have a nap if needed. Your sitter will keep your children entertained during those parts of the event that need a little bit of quiet. Prices vary depending on event, please get in touch for a quote. Proxy parenting / overnight house sit – This is when your sitter stays in your own home and takes care of your children and house as if they are the parents. Timings can be arranged when you book. Your sitter will keep your house clean and tidy, they’ll water your plants, collect your post and put your bins out. For the children, during their stay, your sitter will: feed, give water, change nappies, bath, play with your children, put to bed, and clear up mess and anything else they need to ensure they are happy. Your sitter will also walk your dogs if requested. Horse care or farm animal care can be added too. Please note that prices may vary according to amount of children, pets and tasks involved. If your sitter doesn’t deem the car seat to be a suitable size or style for the child, they won’t take the child out in it. (We have some car seats available, please let us know). 4. All expenses for trips etc. must be paid for and ideally money will be left for these. Alternatively, costs will be added to your invoice. 5. Sometimes parents will be at home during a sit - maybe working or getting ready to go out. Children are sometimes unsettled when they can hear parents but can’t be with them. It is to be discussed with your sitter about whether you pop in to see the child or leave your sitter in sole charge. Sometimes it can be upsetting and disturbing for the parent to keep popping in and children generally settle better when they are left with the sitter in charge for longer periods. 6. Parents must let the sitter know if there are any rules or expectations. E.g. no TV or children must stay upstairs after bedtime. 7. If children won’t sleep at night, your sitter will do everything possible to get children to sleep, or will keep them relaxed and happy. Nanny rates will apply if children won’t sleep during a babysit. House/location Conditions 1. Houses that aren’t clean will not be considered for a booking. 2. Hot weather – Our staff will use their judgment to decide when it is too hot to walk dogs. In these circumstances they will spend time with dogs in their home/garden or take them to a cool shaded area to walk. If your dogs have a paddling pool please let us know and leave towels out too. Walks may be moved to a cooler part of the day if our and your schedule allows. 5. Cold weather – Please leave coats for dogs who feel the cold. Our staff will use their judgment to decide when it is too cold to walk dogs. In these circumstances they will spend time with dogs in their home/garden. Please leave their favourite toys. 6. Wet weather – We walk dogs in all weathers. Please leave coats if you would like your dogs to wear one. Dogs are likely to get muddy and we do our best to towel them off. If you want them to be left in a certain room when they are muddy (e.g. kitchen) please let us know. Pet Behaviour – ALL animals 1. Clients are to disclose any behaviour problems with their pet. This includes fears, anxieties and aggression or reactivity. 2. To help keep dogs under control we use food as positive reinforcement for good behaviour. We reserve the right to refuse work with certain pets that are perceived to be dangerous or unpredictable. 4. We reserve the right to walk dogs on lead if their behaviour is not considered appropriate off lead. 6. If a horse’s behaviour becomes increasingly challenging then the horse will be fed and watered, but may not be led in or out (depending on the intensity of the problem). Dog Walking Conditions 1. In most cases dogs are walked individually, if we think they are suitable for a group walk dogs are teamed up with suitable walking companions, the time of each walk for group walks is dependent on which dogs are being walked that day. We aim to walk the dogs as close to the advertised duration as possible, however, walk times may vary. For instance, if one individual is lame on collection and seems to be struggling then that walk may be cut short to ensure that individual is okay. 2. All dogs being group walked will undergo a trial period to ensure that they are adequately trained and socialised. 3. We reserve the right to cancel the contract at any time & with immediate effect if the dog does not respond well to the walker and/or other dogs. 4. We reserve the right to terminate a dog walk early in exceptional circumstances. This could be due to extreme weather conditions, a dog becoming ill or injured, a dog becoming distressed or distressing other dogs. 5. The safety of the dogs in our care is priority at all times and a walk will only be terminated before completion if absolutely necessary. 6. On very hot days we may reduce our walk times to reduce the risk of heat stroke for dogs, especially flat faced breeds. We assess each situation as it comes and how the dogs seem to be coping in the heat on that particular walk. 7. Due to our chosen walk locations dogs may get wet, muddy or may encounter fox poo. 8. In the event of a dog rolling in something, we will clean them off, but cannot guarantee them to be smell-free. We will report all poo-rolling and shut dogs away somewhere suitable on their return where applicable. 9. Client must understand that we cannot guarantee the same walker each time. However, it may be required for a new walker to walk your dog without being formally introduced in the event of last minute booking or sudden change of schedule (due to sickness, car issues etc). 10. All walkers are insured with Public Liability Insurance. 11. We will walk un-neutered males, but they will be closely monitored and any aggressive or boisterous behavior will be reported to owner and future walks may be cancelled. 12. We will walk un-neutered females, but owners must inform us when in season. We may swap location of their walks or stop walks until their season finishes. 13. If pets show signs of flea or worm infestations they will not be walked and owners will be notified. 14. Dogs will be walked on lead unless you’ve given permission to let them off lead. We will only let dogs off lead when we feel that their recall is acceptable. Horse Care Conditions Farrier If the sitter thinks it best to call the farrier in the case of the horse potentially damaging himself on a loose/twisted shoe, I hereby give my consent for them to call and will cover all costs relating to this. Veterinary During my absence, I have given permission for the sitter and emergency contact to act as a guardian for my pets named above. I AUTHORISE THE NAMED VETS TO TREAT MY PETS IN CASE OF ANY ILLNESS. I will be responsible for any vets charges that may be incurred. Please take any action suitable in order to keep my pets in good health. I give the pet carer permission to transport the above pets to the named vets. I agree that in the event of surgery or euthanasia the pet sitter will accept the advice of the vet and the emergency contact will be contacted. Cat Care Conditions Although it is always safer to keep cats indoors during their owners’ absence, we appreciate that this is not for everyone. As you are aware of the risks, we will care for your cat/s while he has access to a cat flap. Disclaimer On booking you agree that Staffordshire Sitting Services and subcontracted pet sitters cannot be held responsible for any loss of pets that have access to an open cat flap. In the event of your cat going missing, we will continue to provide care visits for your cat/s until your return. House Sitting Conditions 1. House sitting will require a meet and greet to assess if the house is suitable for the sitter. 2. Houses that aren’t clean will not be considered for a house sit. 3. Sitters must be provided with the minimum: a private bedroom, a bed with clean sheets, a bathroom with a bath or shower and a working toilet, a kitchen with cooking facilities, use of heating, running water, electricity. This list is not exhaustive. 4. Overnight house-sitting times will be agreed with the sitter before the service commences. This is usually 6pm to 8am, but times are flexible. Extra hours may be added at extra cost. 5. Costs will be incurred for nighttime wake ups (e.g. letting dogs out, dogs barking, neighbours banging on walls etc.). Please discuss before booking. 6. House sitting includes putting bins out, collecting post and watering flowers (larger gardens may incur additional costs). If pets are in the house, please discuss individual needs for a quote. 7. All cameras must be made known to your sitter. Cameras in living areas and bedrooms will be turned off while your sitter is in the house and will be turned on when they leave. In the event of an emergency- pets 1. Customers are required to give an emergency contact number as well as the preferred veterinary practice the pet should be taken to if necessary. If you are away on holiday it is strongly recommended that you provide the phone number for someone who is easily contactable and who you trust to make a decision on your behalf. If you cannot be contacted then a voicemail message will be left, a text message and email will also be sent. 2. In an absolute emergency the pet will be taken to the nearest veterinary practice. 3. In a non-emergency the pet will be taken to your specified vet. 4. You agree to pay all vets bills if the pet is injured or falls ill while in our care unless we are directly responsible for injury or illness. Pet insurance is always recommended for peace of mind. 5. In the event of a pet going missing clients will be notified and advised to come and help with a search should the pet be missing for longer than 30 minutes. Members of the team will be able to come and help with the search as soon as convenient. Visiting Times We reserve the right to visit or collect the pet within a 60 minute window of the time specified. Working with animals means that unpredictable behaviour can occasionally cause delays. This, along with bad traffic can put us a little behind schedule, although please be assured that this happens very rarely. In the rare case that your usual sitter is ill or unavailable we will do our best to replace them with a sitter equally as qualified and they will be insured and DBS checked. GDPR and photos 1. All personal data is held on our online portal, a password protected website. This can be edited by you at any time and viewed by your sitter when you’re booked in with them. 2. Photos will be taken during your sit and can be texted to you during or after. 3. Photos will be used on social media sites and sometimes on promotional materials, please let us know when you register if you would like to opt out of this or have nonidentifiable photos taken. Bookings must be paid for via card or bank transfer online and not paid in cash. 4. Bookings are paid for at the time of booking. This secures your time and sitter. 5. If we arrive to collect a dog for a walk and they are sick or unwell we reserve the right to cancel their walk and the booking will be changed to a welfare visit (giving them a chance to toilet and giving them some love) for the same length of time and the same price. 3. If we cannot gain access to a property due to faulty or difficult locks the client will still be charged. Clients will be notified immediately. 4. If a dog walk or pet visit cancellation is made within 48 hours of the booking the full fee will be charged. 5. House/farm sitting will incur the full charge if cancelled with less than 2 weeks notice. If cancelled within 2-4 weeks of the booking date, 50% charge will be incurred. Payment 1. Payment before service will apply to all services. Additional services or mileage will be invoiced after, and payment is due within 2 days of receiving the invoice. 2. Where payment after service is required, an invoice will be produced once the work has been completed and is due within 2 days of receiving the invoice. 3. Payments must be made by bank transfer or card payment. 4. All payments must be received within 2 days of the invoice date. 5. In the event of late payment, 10% of the invoice total will be added to the bill. A further 10% will be added every day the invoice is overdue thereafter. 6. If a client fails to pay, we will cease to offer any more services and have the right to make a claim via the small claims court. During this visit your sitter will: feed, change water, play with your pet, fuss your pet, let your pet out if specified and clear up mess. 30 minute solo walk – Your dog will be collected and walked from home. Walk time will be approximately 20-25 minutes, to allow for collection and drop off. If your dog is dirty, they will be towelled off and dogs will be given fresh water on return. 60 minute solo walk – Your dog will be collected and walked from home. Walk time will be approximately 50-55 minutes, to allow for collection and drop off. If your dog is dirty, they will be towelled off and dogs will be given fresh water on return. We can also feed your dog if you require. 30 minute group walk – Your dog will be collected and walked either from home, or may have a short car journey to their walk. Dogs will be walked in a group no larger than 6. Dogs may be out of the house longer than 30 minutes to allow collection and drop off time. This includes ADHD, ASD etc. This is to ensure we place your children with the most experienced sitter to meet your child’s needs. 3. If a child’s behaviour becomes increasingly challenging, then parents will be contacted and we may end the booking early. Service Details Babysitting – Babysitting takes place when children are asleep at night. Your sitter can do extra nannying tasks at the nannying price, such as: feed children, bath children and put them to bed. Your sitter will keep a close eye on your children when they are asleep to ensure that they are safe. Nannying price will be charged for any hours that the children are awake during a babysit. Nannying - Nannying takes place when children are awake during the day. Your sitter will: feed children, play with them, take them on trips if requested. Your sitter will keep a close eye on your children to ensure that they are safe. Event childcare – Event childcare takes place at an event such as a wedding. Your sitter will look after your children in the event, or in the hotel room. Your sitter will ensure your child is looking their best and in the right place at the right time for family photos and greeting relatives. Your sitter will ensure the children are fed and hydrated throughout the event, and that they can have a nap if needed. Your sitter will keep your children entertained during those parts of the event that need a little bit of quiet. Prices vary depending on event, please get in touch for a quote. Proxy parenting / overnight house sit – This is when your sitter stays in your own home and takes care of your children and house as if they are the parents. Timings can be arranged when you book. (i.e., food, medication, nappies etc.). Should children require any additional supplies whilst in our care, these will be purchased and added to the invoice. 5. If it is necessary for keys to be picked up or dropped off in order to complete an assignment, charges will be applied to the invoice for each trip. 6. The client must provide the name and contact number of someone capable of making a decision relating to the children in an emergency. If the contact is not available, we reserve the right to consult with a Dr and then make a decision, which is in the best interests of the child. 7. In the rare case that your usual sitter is ill or unavailable we will do our best to replace them with a sitter equally as qualified and they will be insured, and DBS checked. All sitters have been checked and are registered as self-employed, insured, DBS checked and experienced. 3. Although we take every action possible to ensure our subcontractors can work to a high standard, Staffordshire Sitting Services cannot be held liable for the actions of the subcontractors. 4. Subcontractors are working under a contract and are not able to take on Staffordshire Sitting Services’ clients as their own private clients. If your child is ill please inform us as soon as possible so that we can make the decision whether to continue with the sit. As childcare providers we generally sit for children who are ill, but some sitters may be particularly vulnerable to certain illnesses. 2. Please provide a well-stocked first aid kit. 3. Your sitter will be first aid trained and whilst we will make every effort to ensure your children are well looked after in your absence, we cannot be held liable for any loss, injury or death either inside or outside of the home whilst in our care. SEN and Behaviour 1. Clients are to disclose any behaviour problems with their children. This includes fears, anxieties and aggression. 2. Clients are to disclose any SEN needs with their children. This includes ADHD, ASD etc. This is to ensure we place your children with the most experienced sitter to meet your child’s needs. 3. We reserve the right to refuse work with certain children who are perceived to be dangerous or unpredictable. 4. If a child’s behaviour becomes increasingly challenging, then parents will be contacted and we may end the booking early. Service Details Babysitting – Babysitting takes place when children are asleep at night. Your sitter can do extra nannying tasks at the nannying price, such as: feed children, bath children and put them to bed. Your sitter will keep a close eye on your children when they are asleep to ensure that they are safe. Nannying price will be charged for any hours that the children are awake during a babysit. Nannying - Nannying takes place when children are awake during the day. Your sitter will: feed children, play with them, take them on trips if requested. Your sitter will keep a close eye on your children to ensure that they are safe. Event childcare – Event childcare takes place at an event such as a wedding. Your sitter will look after your children in the event, or in the hotel room. Your sitter will ensure your child is looking their best and in the right place at the right time for family photos and greeting relatives. Your sitter will ensure the children are fed and hydrated throughout the event, and that they can have a nap if needed. Your sitter will keep your children entertained during those parts of the event that need a little bit of quiet. Prices vary depending on event, please get in touch for a quote. Proxy parenting / overnight house sit – This is when your sitter stays in your own home and takes care of your children and house as if they are the parents. Timings can be arranged when you book. Your sitter will keep your house clean and tidy, they’ll water your plants, collect your post and put your bins out. For the children, during their stay, your sitter will: feed, give water, change nappies, bath, play with your children, put to bed, and clear up mess and anything else they need to ensure they are happy. Your sitter will also walk your dogs if requested. Horse care or farm animal care can be added too. Please note that prices may vary according to amount of children, pets and tasks involved. Childcare Conditions 1. Children must be provided with everything they need. 2. It is expected that when the sitter arrives parents will have done everything that meets the children’s welfare needs. E.g. children aren’t overly hungry or thirsty, nappies are changed, beds have clean sheets on etc. 3. Most of our sitters are insured to take children out in the car, please provide car seats. If your sitter doesn’t deem the car seat to be a suitable size or style for the child, they won’t take the child out in it. (We have some car seats available, please let us know). 4. All expenses for trips etc. must be paid for and ideally money will be left for these. Alternatively, costs will be added to your invoice. 5. Sometimes parents will be at home during a sit - maybe working or getting ready to go out. Children are sometimes unsettled when they can hear parents but can’t be with them. It is to be discussed with your sitter about whether you pop in to see the child or leave your sitter in sole charge. Sometimes it can be upsetting and disturbing for the parent to keep popping in and children generally settle better when they are left with the sitter in charge for longer periods. 6. Parents must let the sitter know if there are any rules or expectations. E.g. no TV or children must stay upstairs after bedtime. 7. If children won’t sleep at night, your sitter will do everything possible to get children to sleep, or will keep them relaxed and happy. Nanny rates will apply if children won’t sleep during a babysit. House Conditions 1. Houses that aren’t clean will not be considered for a booking. 2. Overnight sitters must be provided with the minimum: a private bedroom, a bed with clean sheets, a bathroom with a bath or shower and a working toilet, a kitchen with cooking facilities, use of heating, running water, electricity. This list is not exhaustive. 3. Overnight sitting times will be agreed with the sitter before the service commences. 4. Costs will be incurred for nighttime wake ups (e.g. children crying, dogs barking etc.). Please discuss before booking. 5. Proxy parenting/house sitting includes putting bins out, collecting post and watering flowers (larger gardens may incur additional costs). If pets are in the house, please discuss individual needs for a quote. In the event of an emergency- children 1. Customers are required to give an emergency contact number as well as the preferred Dr practice the child should be taken to if necessary. If you are away on holiday it is strongly recommended that you provide the phone number for someone who is easily contactable and who you trust to make a decision on your behalf. If you can not be contacted then a voicemail message will be left, a text message and email will also be sent. 2. In an absolute emergency your child will be taken to A&E. 3. In a non-emergency your child will be taken to your specified Dr or walk in centre. 4. You agree to pay all medical bills if your child is injured or falls ill while in our care, unless we are directly responsible for injury or illness. 5. In the event of a child going missing clients will be notified and advised to come and help with a search. GDPR and photos 1. All personal data is held on our online portal, a password protected website. This can be edited by you at any time and viewed by your sitter when you’re booked in with them. 2. Photos will be taken during your sit and can be texted to you during or after. 3. Photos will be used on social media sites and sometimes on promotional materials, please let us know when you register if you would like to opt out of this or have nonidentifiable photos taken. Bookings must be paid for via card or bank transfer online and not paid in cash. 4. Bookings are paid for at the time of booking. This secures your time and sitter. If we arrive and are no longer needed, then the full price will be charged. 2. If we arrive and the child is too sick or unwell we reserve the right to cancel the booking. The full price will be charged. 3. If we cannot gain access to a property due to faulty or difficult locks the client will be charged an inconvenience fee. Clients will be notified immediately and children will be taken to a safe place. 4. If a babysitting or nannying cancellation is made the full fee will still be charged. Bookings may be able to be rescheduled if more than 2 days notice is given. 5. Proxy parenting, overnight sitting and event sitting will incur the full charge if cancelled with less than 4 weeks notice. If cancelled with more than 4 weeks notice, your date securing payment will not be returned. Payment 1. Payment before service will apply to all services. Additional services or mileage will be invoiced after, and payment is due within 2 days of receiving the invoice. 2. Where payment after service is required, an invoice will be produced once the work has been completed and is due within 2 days of receiving the invoice. 3. Payments must be made by bank transfer or card payment. 4. All payments must be received within 2 days of the invoice date. 5. In the event of late payment, 10% of the invoice total will be added to the bill. A further 10% will be added every day the invoice is overdue thereafter. Payment before service will apply to all services. Additional services or mileage will be invoiced after, and payment is due within 2 days of receiving the invoice. 2. Where payment after service is required, an invoice will be produced once the work has been completed and is due within 2 days of receiving the invoice. 3. Payments must be made by bank transfer or card payment. 4. All payments must be received within 2 days of the invoice date. 5. In the event of late payment, 10% of the invoice total will be added to the bill. A further 10% will be added every day the invoice is overdue thereafter. 6. If a client fails to pay, we will cease to offer any more services and have the right to make a claim via the small claims court. The client must provide the name and contact number of someone capable of making a decision relating to the pet(s) in an emergency. If the contact is not available, we reserve the right to consult with a veterinary surgeon and then make a decision, which is in the best interests of the animal. 7. We aim to walk the dogs as close to the advertised duration as possible, however, walk times may vary. For instance, if one individual is lame on collection and seems to be struggling then that walk may be cut short to ensure that individual is okay. 2. All dogs being group walked will undergo a trial period to ensure that they are adequately trained and socialised. 3. We reserve the right to cancel the contract at any time & with immediate effect if the dog does not respond well to the walker and/or other dogs. 4. We reserve the right to terminate a dog walk early in exceptional circumstances. This could be due to extreme weather conditions, a dog becoming ill or injured, a dog becoming distressed or distressing other dogs. 5. The safety of the dogs in our care is priority at all times and a walk will only be terminated before completion if absolutely necessary. 6. On very hot days we may reduce our walk times to reduce the risk of heat stroke for dogs, especially flat faced breeds. We assess each situation as it comes and how the dogs seem to be coping in the heat on that particular walk. 7. Due to our chosen walk locations dogs may get wet, muddy or may encounter fox poo. 8. In the event of a dog rolling in something, we will clean them off, but cannot guarantee them to be smell-free. We will report all poo-rolling and shut dogs away somewhere suitable on their return where applicable. 9. Client must understand that we cannot guarantee the same walker each time. However, it may be required for a new walker to walk your dog without being formally introduced in the event of last minute booking or sudden change of schedule (due to sickness, car issues etc). 10. All walkers are insured with Public Liability Insurance. 11. We will walk un-neutered males, but they will be closely monitored and any aggressive or boisterous behavior will be reported to owner and future walks may be cancelled. 12. We will walk un-neutered females, but owners must inform us when in season. We may swap location of their walks or stop walks until their season finishes. 13. If pets show signs of flea or worm infestations they will not be walked and owners will be notified. 14. Dogs will be walked on lead unless you’ve given permission to let them off lead. We will only let dogs off lead when we feel that their recall is acceptable. Horse Care Conditions Farrier If the sitter thinks it best to call the farrier in the case of the horse potentially damaging himself on a loose/twisted shoe, I hereby give my consent for them to call and will cover all costs relating to this. Veterinary During my absence, I have given permission for the sitter and emergency contact to act as a guardian for my pets named above. I AUTHORISE THE NAMED VETS TO TREAT MY PETS IN CASE OF ANY ILLNESS. I will be responsible for any vets charges that may be incurred. Please take any action suitable in order to keep my pets in good health. I give the pet carer permission to transport the above pets to the named vets. I agree that in the event of surgery or euthanasia the pet sitter will accept the advice of the vet and the emergency contact will be contacted. Cat Care Conditions Although it is always safer to keep cats indoors during their owners’ absence, we appreciate that this is not for everyone. As you are aware of the risks, we will care for your cat/s while he has access to a cat flap. Disclaimer On booking you agree that Staffordshire Sitting Services and subcontracted pet sitters cannot be held responsible for any loss of pets that have access to an open cat flap. In the event of your cat going missing, we will continue to provide care visits for your cat/s until your return. House Sitting Conditions 1. House sitting will require a meet and greet to assess if the house is suitable for the sitter. 2. Houses that aren’t clean will not be considered for a house sit. 3. If you are away on holiday it is strongly recommended that you provide the phone number for someone who is easily contactable and who you trust to make a decision on your behalf. If you cannot be contacted then a voicemail message will be left, a text message and email will also be sent. 2. In an absolute emergency the pet will be taken to the nearest veterinary practice. 3. In a non-emergency the pet will be taken to your specified vet. 4. You agree to pay all vets bills if the pet is injured or falls ill while in our care unless we are directly responsible for injury or illness. Photos will be used on social media sites and sometimes on promotional materials, please let us know when you register if you would like to opt out of this or have nonidentifiable photos taken. We reserve the right to walk dogs on lead if their behaviour is not considered appropriate off lead. 6. If a horse’s behaviour becomes increasingly challenging then the horse will be fed and watered, but may not be led in or out (depending on the intensity of the problem). Dog Walking Conditions 1. In most cases dogs are walked individually, if we think they are suitable for a group walk dogs are teamed up with suitable walking companions, the time of each walk for group walks is dependent on which dogs are being walked that day. We aim to walk the dogs as close to the advertised duration as possible, however, walk times may vary. For instance, if one individual is lame on collection and seems to be struggling then that walk may be cut short to ensure that individual is okay. 2. All dogs being group walked will undergo a trial period to ensure that they are adequately trained and socialised. 3. We reserve the right to cancel the contract at any time & with immediate effect if the dog does not respond well to the walker and/or other dogs. 4. We reserve the right to terminate a dog walk early in exceptional circumstances. This could be due to extreme weather conditions, a dog becoming ill or injured, a dog becoming distressed or distressing other dogs. 5. The safety of the dogs in our care is priority at all times and a walk will only be terminated before completion if absolutely necessary. 6. On very hot days we may reduce our walk times to reduce the risk of heat stroke for dogs, especially flat faced breeds. We assess each situation as it comes and how the dogs seem to be coping in the heat on that particular walk. 7. Due to our chosen walk locations dogs may get wet, muddy or may encounter fox poo. 8. In the event of a dog rolling in something, we will clean them off, but cannot guarantee them to be smell-free. We will report all poo-rolling and shut dogs away somewhere suitable on their return where applicable. 9. Client must understand that we cannot guarantee the same walker each time. However, it may be required for a new walker to walk your dog without being formally introduced in the event of last minute booking or sudden change of schedule (due to sickness, car issues etc). 10. All walkers are insured with Public Liability Insurance. 11. We will walk un-neutered males, but they will be closely monitored and any aggressive or boisterous behavior will be reported to owner and future walks may be cancelled. 12. We will walk un-neutered females, but owners must inform us when in season. We may swap location of their walks or stop walks until their season finishes. 13. If pets show signs of flea or worm infestations they will not be walked and owners will be notified. 14. Dogs will be walked on lead unless you’ve given permission to let them off lead. We will only let dogs off lead when we feel that their recall is acceptable. Horse Care Conditions Farrier If the sitter thinks it best to call the farrier in the case of the horse potentially damaging himself on a loose/twisted shoe, I hereby give my consent for them to call and will cover all costs relating to this. Veterinary During my absence, I have given permission for the sitter and emergency contact to act as a guardian for my pets named above. I AUTHORISE THE NAMED VETS TO TREAT MY PETS IN CASE OF ANY ILLNESS. I will be responsible for any vets charges that may be incurred. Please take any action suitable in order to keep my pets in good health. I give the pet carer permission to transport the above pets to the named vets. I agree that in the event of surgery or euthanasia the pet sitter will accept the advice of the vet and the emergency contact will be contacted. Cat Care Conditions Although it is always safer to keep cats indoors during their owners’ absence, we appreciate that this is not for everyone. As you are aware of the risks, we will care for your cat/s while he has access to a cat flap. Disclaimer On booking you agree that Staffordshire Sitting Services and subcontracted pet sitters cannot be held responsible for any loss of pets that have access to an open cat flap. In the event of your cat going missing, we will continue to provide care visits for your cat/s until your return. House Sitting Conditions 1. House sitting will require a meet and greet to assess if the house is suitable for the sitter. 2. Houses that aren’t clean will not be considered for a house sit. 3. Sitters must be provided with the minimum: a private bedroom, a bed with clean sheets, a bathroom with a bath or shower and a working toilet, a kitchen with cooking facilities, use of heating, running water, electricity. This list is not exhaustive. 4. Overnight house-sitting times will be agreed with the sitter before the service commences. This is usually 6pm to 8am, but times are flexible. Extra hours may be added at extra cost. 5. Costs will be incurred for nighttime wake ups (e.g. letting dogs out, dogs barking, neighbours banging on walls etc.). Please discuss before booking. 6. House sitting includes putting bins out, collecting post and watering flowers (larger gardens may incur additional costs). If pets are in the house, please discuss individual needs for a quote. 7. All cameras must be made known to your sitter. Cameras in living areas and bedrooms will be turned off while your sitter is in the house and will be turned on when they leave. In the event of an emergency- pets 1. Customers are required to give an emergency contact number as well as the preferred veterinary practice the pet should be taken to if necessary. If you are away on holiday it is strongly recommended that you provide the phone number for someone who is easily contactable and who you trust to make a decision on your behalf. If you cannot be contacted then a voicemail message will be left, a text message and email will also be sent. 2. In an absolute emergency the pet will be taken to the nearest veterinary practice. 3. In a non-emergency the pet will be taken to your specified vet. 4. You agree to pay all vets bills if the pet is injured or falls ill while in our care unless we are directly responsible for injury or illness. Pet insurance is always recommended for peace of mind. 5. In the event of a pet going missing clients will be notified and advised to come and help with a search should the pet be missing for longer than 30 minutes. Members of the team will be able to come and help with the search as soon as convenient. Visiting Times We reserve the right to visit or collect the pet within a 60 minute window of the time specified. Working with animals means that unpredictable behaviour can occasionally cause delays. This, along with bad traffic can put us a little behind schedule, although please be assured that this happens very rarely. In the rare case that your usual sitter is ill or unavailable we will do our best to replace them with a sitter equally as qualified and they will be insured and DBS checked. GDPR and photos 1. All personal data is held on our online portal, a password protected website. This can be edited by you at any time and viewed by your sitter when you’re booked in with them. 2. Photos will be taken during your sit and can be texted to you during or after. 3. Photos will be used on social media sites and sometimes on promotional materials, please let us know when you register if you would like to opt out of this or have nonidentifiable photos taken. Booking 1. Bookings must be made online at www.staffordshiresittingservices.co.uk 2. Bookings must not be made directly with sitters. 3. Bookings must be paid for via card or bank transfer online and not paid in cash. 4. Bookings are paid for at the time of booking. This secures your time and sitter. 5. Cancellations may incur a charge, please see cancellation policy below. Cancellations 1. If we arrive and are no longer needed, then the full price will be charged for the walk or visit. 2. If we arrive to collect a dog for a walk and they are sick or unwell we reserve the right to cancel their walk and the booking will be changed to a welfare visit (giving them a chance to toilet and giving them some love) for the same length of time and the same price. 3. If we cannot gain access to a property due to faulty or difficult locks the client will still be charged. Clients will be notified immediately. 4. If a dog walk or pet visit cancellation is made within 48 hours of the booking the full fee will be charged. 5. House/farm sitting will incur the full charge if cancelled with less than 2 weeks notice. If cancelled within 2-4 weeks of the booking date, 50% charge will be incurred. Payment 1. Payment before service will apply to all services. Additional services or mileage will be invoiced after, and payment is due within 2 days of receiving the invoice. 2. Where payment after service is required, an invoice will be produced once the work has been completed and is due within 2 days of receiving the invoice. 3. Payments must be made by bank transfer or card payment. 4. All payments must be received within 2 days of the invoice date. 5. In the event of late payment, 10% of the invoice total will be added to the bill. A further 10% will be added every day the invoice is overdue thereafter. 6. If a client fails to pay, we will cease to offer any more services and have the right to make a claim via the small claims court. Service Details 20/30 minute home visit – This is suitable for small animals and dogs. During this visit your sitter will: feed, change water, play with your pet, fuss your pet, let your pet out if specified and clear up mess. 30 minute solo walk – Your dog will be collected and walked from home. Walk time will be approximately 20-25 minutes, to allow for collection and drop off. If your dog is dirty, they will be towelled off and dogs will be given fresh water on return. 60 minute solo walk – Your dog will be collected and walked from home. Walk time will be approximately 50-55 minutes, to allow for collection and drop off. If your dog is dirty, they will be towelled off and dogs will be given fresh water on return. We can also feed your dog if you require. 30 minute group walk – Your dog will be collected and walked either from home, or may have a short car journey to their walk. Dogs will be walked in a group no larger than 6. Dogs may be out of the house longer than 30 minutes to allow collection and drop off time. If your dog is dirty, they will be towelled off and dogs will be given fresh water on return. 60 minute group walk – Your dog will be collected and walked either from home, or may have a short car journey to their walk. Horse visit – Horse visits are priced per hour. Included is: feeding, giving hay, changing water, mucking out, poo picking, changing rugs, turning out/fetching in. This can be booked for 1 horse or several, and we will do as many jobs as possible in your requested time. House sit – House sitting is when your sitter stays in your own home and takes care of your pets and house. House sit timings can be arranged when you book. Usually, we arrive at 6pm and leave at 8am. There is the option to add a lunchtime home visit too. Your sitter will keep your house clean and tidy, they’ll water your plants, collect your post and put your bins out. Upon registering with Staffordshire Sitting Services, all clients have accepted our terms and conditions (as laid out here) and agree that they have given all information which is true and correct. If anything changes we must be notified immediately. 2. We will not confirm any booking until a phone/email consultation has been carried out with the client, the client has registered online and completed their profile with full details of requirements, emergency contacts, pet information etc. A meet and greet will be required to ensure client and sitter are happy to proceed. 3. We reserve the right to refuse service to any customer, at any time, for any reason. 4. The client must provide all items necessary for pets/house to be adequately cared for in the client's absence. (i.e., food, medication, nappies etc.). Should children require any additional supplies whilst in our care, these will be purchased and added to the invoice. 5. If it is necessary for keys to be picked up or dropped off in order to complete an assignment, charges will be applied to the invoice for each trip. 6. The client must provide the name and contact number of someone capable of making a decision relating to the children in an emergency. If the contact is not available, we reserve the right to consult with a Dr and then make a decision, which is in the best interests of the child. 7. The client is responsible for any medical bills, no matter how they are incurred, whilst children are in our care. 8. We must be alerted to any SEN needs or behavioral problems with their children at the time of booking. Failure to do so may result in additional charges or cancellation of any future contract. 9. We will care for your children as you would, and whilst we will make every effort to ensure your children are well looked after in your absence, we cannot be held liable for any loss, injury or death either inside or outside of the home whilst in our care. Sitters (employed) 1. Staffordshire Sitting Services works with most sitters as employees. 2. All sitters have been checked for suitability, DBS and experience. 3. Sitters are insured through Staffordshire Sitting Services. 4. We take every action possible to ensure our staff are trained and able to work to a high standard. 5. Staff are working under a contract and are not able to take on Staffordshire Sitting Services’ clients as their own private clients. All bookings must go through Staffordshire Sitting Services. 6. Payments must be made via the website and must not be made to the sitters. 7. If your child is ill please inform us as soon as possible so that we can make the decision whether to continue with the sit. As childcare providers we generally sit for children who are ill, but some sitters may be particularly vulnerable to certain illnesses. 2. Please provide a well-stocked first aid kit. 3. Your sitter will be first aid trained and whilst we will make every effort to ensure your children are well looked after in your absence, we cannot be held liable for any loss, injury or death either inside or outside of the home whilst in our care. SEN and Behaviour 1. Clients are to disclose any behaviour problems with their children. This includes fears, anxieties and aggression. 2. Clients are to disclose any SEN needs with their children. This includes ADHD, ASD etc. This is to ensure we place your children with the most experienced sitter to meet your child’s needs. 3. We reserve the right to refuse work with certain children who are perceived to be dangerous or unpredictable. 4. Service Details Babysitting – Babysitting takes place when children are asleep at night. Your sitter can do extra nannying tasks at the nannying price, such as: feed children, bath children and put them to bed. Your sitter will keep a close eye on your children when they are asleep to ensure that they are safe. Nannying price will be charged for any hours that the children are awake during a babysit. Nannying - Nannying takes place when children are awake during the day. Your sitter will: feed children, play with them, take them on trips if requested. Your sitter will keep a close eye on your children to ensure that they are safe. Event childcare – Event childcare takes place at an event such as a wedding. Your sitter will look after your children in the event, or in the hotel room. Your sitter will ensure your child is looking their best and in the right place at the right time for family photos and greeting relatives. Your sitter will ensure the children are fed and hydrated throughout the event, and that they can have a nap if needed. Your sitter will keep your children entertained during those parts of the event that need a little bit of quiet. Prices vary depending on event, please get in touch for a quote. Proxy parenting / overnight house sit – This is when your sitter stays in your own home and takes care of your children and house as if they are the parents. Timings can be arranged when you book. Your sitter will keep your house clean and tidy, they’ll water your plants, collect your post and put your bins out. For the children, during their stay, your sitter will: feed, give water, change nappies, bath, play with your children, put to bed, and clear up mess and anything else they need to ensure they are happy. Sometimes parents will be at home during a sit - maybe working or getting ready to go out. Children are sometimes unsettled when they can hear parents but can’t be with them. It is to be discussed with your sitter about whether you pop in to see the child or leave your sitter in sole charge. Sometimes it can be upsetting and disturbing for the parent to keep popping in and children generally settle better when they are left with the sitter in charge for longer periods. 6. Parents must let the sitter know if there are any rules or expectations. E.g. no TV or children must stay upstairs after bedtime. 7. If children won’t sleep at night, your sitter will do everything possible to get children to sleep, or will keep them relaxed and happy. In the rare case that your usual sitter is ill or unavailable we will do our best to replace them with a sitter equally as qualified and they will be insured, and DBS checked. Sitters (subcontractors) 1. Staffordshire Sitting Services works with some sitters as subcontractors. 2. All sitters have been checked and are registered as self-employed, insured, DBS checked and experienced. 3. Although we take every action possible to ensure our subcontractors can work to a high standard, Staffordshire Sitting Services cannot be held liable for the actions of the subcontractors. 4. Subcontractors are working under a contract and are not able to take on Staffordshire Sitting Services’ clients as their own private clients. All bookings must go through Staffordshire Sitting Services. 5. Payments must be made via the website and must not be made to the sitters. Pet Health & Safety 1. To help keep dogs under control we sometimes use food as positive reinforcement for good behaviour. Clients must disclose any issues surrounding food, whether that be allergies or aggressive behaviour. 2. All dogs must have a collar or harness on with the name and number/address of the owner. (https://www.legislation.gov.uk/cy/uksi/1992/901/made/data.htm?wrap=true) 3. We are required to report any bite incident to the authorities. 4. Hot weather – Our staff will use their judgment to decide when it is too hot to walk dogs. In these circumstances they will spend time with dogs in their home/garden or take them to a cool shaded area to walk. If your dogs have a paddling pool please let us know and leave towels out too. Walks may be moved to a cooler part of the day if our and your schedule allows. 5. Cold weather – Please leave coats for dogs who feel the cold. Our staff will use their judgment to decide when it is too cold to walk dogs. In these circumstances they will spend time with dogs in their home/garden. Please leave their favourite toys. 6. Wet weather – We walk dogs in all weathers. Please leave coats if you would like your dogs to wear one. Dogs are likely to get muddy and we do our best to towel them off. If you want them to be left in a certain room when they are muddy (e.g. kitchen) please let us know. Pet Behaviour – ALL animals 1. Clients are to disclose any behaviour problems with their pet. This includes fears, anxieties and aggression or reactivity. 2. To help keep dogs under control we use food as positive reinforcement for good behaviour. Clients must disclose any issues surrounding food, whether that be allergies or aggressive behaviour. 3. We reserve the right to refuse work with certain pets that are perceived to be dangerous or unpredictable. 4. If a dog’s behaviour on their walks becomes increasingly challenging then a solo walk or home visit (depending on the intensity of the problem) may be offered. 5. We reserve the right to walk dogs on lead if their behaviour is not considered appropriate off lead. 6. If a horse’s behaviour becomes increasingly challenging then the horse will be fed and watered, but may not be led in or out (depending on the intensity of the problem). Dog Walking Conditions 1. In most cases dogs are walked individually, if we think they are suitable for a group walk dogs are teamed up with suitable walking companions, the time of each walk for group walks is dependent on which dogs are being walked that day. We aim to walk the dogs as close to the advertised duration as possible, however, walk times may vary. For instance, if one individual is lame on collection and seems to be struggling then that walk may be cut short to ensure that individual is okay. 2. All dogs being group walked will undergo a trial period to ensure that they are adequately trained and socialised. 3. We reserve the right to cancel the contract at any time & with immediate effect if the dog does not respond well to the walker and/or other dogs. 4. We reserve the right to terminate a dog walk early in exceptional circumstances. This could be due to extreme weather conditions, a dog becoming ill or injured, a dog becoming distressed or distressing other dogs. 5. The safety of the dogs in our care is priority at all times and a walk will only be terminated before completion if absolutely necessary. 6. On very hot days we may reduce our walk times to reduce the risk of heat stroke for dogs, especially flat faced breeds. We assess each situation as it comes and how the dogs seem to be coping in the heat on that particular walk. 7. Due to our chosen walk locations dogs may get wet, muddy or may encounter fox poo. 8. In the event of a dog rolling in something, we will clean them off, but cannot guarantee them to be smell-free. We will report all poo-rolling and shut dogs away somewhere suitable on their return where applicable. 9. Client must understand that we cannot guarantee the same walker each time. However, it may be required for a new walker to walk your dog without being formally introduced in the event of last minute booking or sudden change of schedule (due to sickness, car issues etc). 10. All walkers are insured with Public Liability Insurance. 11. We will walk un-neutered males, but they will be closely monitored and any aggressive or boisterous behavior will be reported to owner and future walks may be cancelled. 12. We will walk un-neutered females, but owners must inform us when in season. We may swap location of their walks or stop walks until their season finishes. 13. If pets show signs of flea or worm infestations they will not be walked and owners will be notified. 14. Dogs will be walked on lead unless you’ve given permission to let them off lead. We will only let dogs off lead when we feel that their recall is acceptable. Horse Care Conditions Farrier If the sitter thinks it best to call the farrier in the case of the horse potentially damaging himself on a loose/twisted shoe, I hereby give my consent for them to call and will cover all costs relating to this. Veterinary During my absence, I have given permission for the sitter and emergency contact to act as a guardian for my pets named above. I AUTHORISE THE NAMED VETS TO TREAT MY PETS IN CASE OF ANY ILLNESS. I will be responsible for any vets charges that may be incurred. Please take any action suitable in order to keep my pets in good health. I give the pet carer permission to transport the above pets to the named vets. I agree that in the event of surgery or euthanasia the pet sitter will accept the advice of the vet and the emergency contact will be contacted. Cat Care Conditions Although it is always safer to keep cats indoors during their owners’ absence, we appreciate that this is not for everyone. As you are aware of the risks, we will care for your cat/s while he has access to a cat flap. Disclaimer On booking you agree that Staffordshire Sitting Services and subcontracted pet sitters cannot be held responsible for any loss of pets that have access to an open cat flap. In the event of your cat going missing, we will continue to provide care visits for your cat/s until your return. House Sitting Conditions 1. House sitting will require a meet and greet to assess if the house is suitable for the sitter. 2. Houses that aren’t clean will not be considered for a house sit. 3. Sitters must be provided with the minimum: a private bedroom, a bed with clean sheets, a bathroom with a bath or shower and a working toilet, a kitchen with cooking facilities, use of heating, running water, electricity. This list is not exhaustive. 4. Overnight house-sitting times will be agreed with the sitter before the service commences. This is usually 6pm to 8am, but times are flexible. Extra hours may be added at extra cost. 5. Costs will be incurred for nighttime wake ups (e.g. letting dogs out, dogs barking, neighbours banging on walls etc.). Please discuss before booking. 6. House sitting includes putting bins out, collecting post and watering flowers (larger gardens may incur additional costs). If pets are in the house, please discuss individual needs for a quote. 7. All cameras must be made known to your sitter. Cameras in living areas and bedrooms will be turned off while your sitter is in the house and will be turned on when they leave. In the event of an emergency- pets 1. Customers are required to give an emergency contact number as well as the preferred veterinary practice the pet should be taken to if necessary. If you are away on holiday it is strongly recommended that you provide the phone number for someone who is easily contactable and who you trust to make a decision on your behalf. If you cannot be contacted then a voicemail message will be left, a text message and email will also be sent. 2. In an absolute emergency the pet will be taken to the nearest veterinary practice. 3. In a non-emergency the pet will be taken to your specified vet. 4. You agree to pay all vets bills if the pet is injured or falls ill while in our care unless we are directly responsible for injury or illness. Pet insurance is always recommended for peace of mind. 5. In the event of a pet going missing clients will be notified and advised to come and help with a search should the pet be missing for longer than 30 minutes. Members of the team will be able to come and help with the search as soon as convenient. Visiting Times We reserve the right to visit or collect the pet within a 60 minute window of the time specified. Working with animals means that unpredictable behaviour can occasionally cause delays. This, along with bad traffic can put us a little behind schedule, although please be assured that this happens very rarely. All personal data is held on our online portal, a password protected website. This can be edited by you at any time and viewed by your sitter when you’re booked in with them. 2. Photos will be taken during your sit and can be texted to you during or after. 3. Photos will be used on social media sites and sometimes on promotional materials, please let us know when you register if you would like to opt out of this or have nonidentifiable photos taken. Booking 1. Bookings must be made online at www.staffordshiresittingservices.co.uk 2. Bookings must not be made directly with sitters. 3. Bookings must be paid for via card or bank transfer online and not paid in cash. 4. Bookings are paid for at the time of booking. This secures your time and sitter. 5. Cancellations may incur a charge, please see cancellation policy below. Cancellations 1. If we arrive and are no longer needed, then the full price will be charged for the walk or visit. 2. If we arrive to collect a dog for a walk and they are sick or unwell we reserve the right to cancel their walk and the booking will be changed to a welfare visit (giving them a chance to toilet and giving them some love) for the same length of time and the same price. 3. If we cannot gain access to a property due to faulty or difficult locks the client will still be charged. Clients will be notified immediately. 4. If a dog walk or pet visit cancellation is made within 48 hours of the booking the full fee will be charged. 5. House/farm sitting will incur the full charge if cancelled with less than 2 weeks notice. If cancelled within 2-4 weeks of the booking date, 50% charge will be incurred. Payment 1. Payment before service will apply to all services. Additional services or mileage will be invoiced after, and payment is due within 2 days of receiving the invoice. 2. Where payment after service is required, an invoice will be produced once the work has been completed and is due within 2 days of receiving the invoice. 3. Payments must be made by bank transfer or card payment. 4. All payments must be received within 2 days of the invoice date. 5. In the event of late payment, 10% of the invoice total will be added to the bill. A further 10% will be added every day the invoice is overdue thereafter. 6. If a client fails to pay, we will cease to offer any more services and have the right to make a claim via the small claims court. Service Details 20/30 minute home visit – This is suitable for small animals and dogs. During this visit your sitter will: feed, change water, play with your pet, fuss your pet, let your pet out if specified and clear up mess. 30 minute solo walk – Your dog will be collected and walked from home. Walk time will be approximately 20-25 minutes, to allow for collection and drop off. If your dog is dirty, they will be towelled off and dogs will be given fresh water on return. 60 minute solo walk – Your dog will be collected and walked from home. Walk time will be approximately 50-55 minutes, to allow for collection and drop off. If your dog is dirty, they will be towelled off and dogs will be given fresh water on return. We can also feed your dog if you require. 30 minute group walk – Your dog will be collected and walked either from home, or may have a short car journey to their walk. Dogs will be walked in a group no larger than 6. Dogs may be out of the house longer than 30 minutes to allow collection and drop off time. If your dog is dirty, they will be towelled off and dogs will be given fresh water on return. 60 minute group walk – Your dog will be collected and walked either from home, or may have a short car journey to their walk. Dogs will be walked in a group no larger than 6. Dogs may be out of the house longer than 60 minutes to allow collection and drop off time. If your dog is dirty, they will be towelled off and dogs will be given fresh water on return. Day or evening sit – This is for a minimum of 4 hours and is suitable for dogs who cannot be left alone. Your sitter will do all the duties included in a home visit: feed, change water, play with your pet, fuss your pet, let your pet out if specified and clear up mess. Horse visit – Horse visits are priced per hour. Included is: feeding, giving hay, changing water, mucking out, poo picking, changing rugs, turning out/fetching in. This can be booked for 1 horse or several, and we will do as many jobs as possible in your requested time. House sit – House sitting is when your sitter stays in your own home and takes care of your pets and house. House sit timings can be arranged when you book. Usually, we arrive at 6pm and leave at 8am. There is the option to add a lunchtime home visit too. Your sitter will keep your house clean and tidy, they’ll water your plants, collect your post and put your bins out. If you have pets, during their stay, your sitter will: feed, change water, play with your pet, fuss your pet, let your pet out if specified and clear up mess. Your sitter will also walk your dogs if specified. Horse care or farm animal care can be added too. Please note that prices may vary according to amount of pets/tasks involved.
